Canopy launches AI coworker for accounting automation

Canopy has launched Canopy Coworker for accounting firms, describing it as an AI execution layer built into its practice management platform.

The launch marks a broader push by the Salt Lake City software provider to move beyond software that mainly organises work and towards software that carries out parts of that work within a firm's existing systems. Coworker operates across functions, including client management, document management and billing.

The product is designed to handle multi-step administrative and operational processes that often sit around core accounting work. These include onboarding new clients, identifying missing documents, spotting signs of scope creep and adjusting workflows when deadlines change.

One example is client onboarding. When a client record is created, the system can trigger folder creation, send questionnaires and start welcome communications without staff intervention.

Another feature focuses on what Canopy describes as institutional memory. The software can learn a firm's policies and seniority structures, so work is routed, and decisions are made in line with internal procedures.

It can also analyse billing and communications data to identify engagements where effective hourly rates are falling, alerting firms before margin erosion becomes more pronounced.

The software can identify missing client documents, prepare follow-up messages for review and notify staff when those documents have been received. It can also help with capacity planning by factoring in task complexity and staff skill levels to show real-time workloads and suggest reassignments.

The coordination problem

Canopy framed the launch around a longstanding issue in the accounting sector: how much time professionals spend chasing information, checking status, sending reminders and moving work between teams. In that view, automation is less about replacing technical accounting work and more about reducing the operational burden around it.

"The biggest problem in accounting isn't accounting - it's the work around it. Every firm we talk to loses time and margin to the same thing: chasing, checking, reminding, routing," said Hanna Bjornn, Senior Vice President of Product at Canopy.

"We built Coworker to be the member of your team that handles all of it - so your people can focus on the work that actually matters," Bjornn added.

Canopy said the product works within firm-specific permissions and controls. It described the system as a supervised AI coworker that can take on more autonomy as it learns how an organisation operates, while leaving final responsibility for outcomes and exceptions with human staff.

The company also sought to address concerns about data handling, saying the tool runs within its own system rather than through an external AI layer that accesses a firm's files and information from outside the platform.

Broader shift

The announcement reflects a wider movement in business software towards tools that do more than record tasks or support workflows. In professional services, the focus is increasingly on systems that can execute repeatable processes across different parts of the software stack, especially where work depends on handoffs between teams, standard operating procedures, and predictable follow-up.

For accounting firms, that model has clear commercial implications. Administrative coordination takes up staff time and can limit the number of clients a firm can serve without hiring more people. Software vendors have increasingly argued that AI can help firms expand output by reducing workload, though questions about oversight, data security, and reliability have often shaped adoption.

Canopy places that argument at the centre of its strategy. The aim, it said, is to let firms increase capacity and revenue without matching growth in headcount, while shifting staff away from administrative coordination and towards advisory work, strategic tasks and client relationships.

The release was presented as a significant change in the role of practice management software. Rather than acting mainly as a system of record, the platform is intended to become a system that carries out actions across the firm.

Canopy also announced Canopy Notetaker, a separate product focused on capturing client conversations inside the platform. That tool automatically archives conversations to the correct client record, tying note-taking directly to the firm's central system rather than keeping records in separate documentation tools.

Canopy sells software that brings together client management, CRM, workflow, document management, time and billing, engagements and proposals in one system for accounting firms. With Coworker, it seeks to place AI at the centre of how the software is used in day-to-day operations.
